    SUMMARY OF JOB:

    This is a clerical position providing routine clerical services to the Village as a valuable part of the administrative support staff. This position assists in municipal elections and keeping the records thereof as directed by the Administrative Staff. We are looking for the best candidate to join our team.

    Job Description

    Title of Position: Clerk II
    Reports to: Village Clerk, Village Administrative Staff
    Employment Category: Full Time Represented

    General Nature of Position: This is a clerical position providing routine clerical services to the Village as part of the administrative support staff.

    Description of Duties and Responsibilities
    1. General Duties
    a. Support the Village Administration in providing high-quality, efficient Village services including, but not limited to, the following as directed:
    i. Answering phones, directing calls, and answering general questions
    ii. Greeting and servicing walk-in customers
    iii. Production and filing of written, electronic, and other records
    iv. Receipts monies on the computer receipting system
    v. Administer dog, kennel, bike and operator licenses
    vi. Opening and distribution of mail
    b. Type reports, business correspondence, forms, and other material as assigned.
    c. Assist in the creation of the quarterly newsletter as needed
    d. Operate fax machine, copier, postage meter, and other general office equipment
    e. Meet professional standards of conduct and communication with the public
    f. Complete work as assigned by the Village Administrative Staff
    g. Assist the Building Inspection, Zoning and Public Works Department
    h. Assist with the website as needed
    i. Assist in performance of other work as needed and as assigned

    2. Assist Village Administration in fulfilling Village Statutory Responsibilities
    a. Help to ensure that agendas, minutes, and other legal documents are produced, posted, and published as required by law
    b. Preparing the meeting packets in a timely and efficient manner
    c. Help to record minutes and/or assist in production or recording of minutes as directed
    d. Assist in assuring that requests for open records are filled as required by law
    e. Assist in municipal elections and keeping the records thereof as directed
    f. Assist with voter registration and absentee voting (early voting)
    g. Assist in and provide backup in Municipal Court operations/proceedings
    h. Assist in the management of license applications and the issuance of licenses as directed

    Desired Qualifications and Abilities
    1. Education, experience, and general qualifications desired as follows:
     High school diploma or G.E.D. required
     Advanced training and/or equivalent experience in an office setting
     Proficiency in use of Village word processing program(s)
     Command of English in oral and written form

    2. Knowledge desired as follows:
     General knowledge of office procedures and equipment including computer
     Principles of file and records management
     Use of Microsoft Office software products
    3. Abilities desired as follows:
     To communicate effectively in English in oral and written form
     To remain calm while working in a fast-paced environment
     To deal with a variety of people in a public setting in a positive and helpful manner
     To establish and maintain effective working relationships with other Village employees
     To follow appropriate administrative procedures
     To accurately type a minimum of 45 words per minute
     To maintain confidentiality of Village business matters when outside of the office
     To preserve confidentiality and security of office facilities and files
    4. Performance Aptitudes
     Judgment, balance, and rationality in unexpected situations involving low risk to the Village.
     Read and interpret information including correspondence, reports, reference sources, policies, and other routine written communications
     Mathematical operations including addition, subtraction, multiplication, division, percentages, and fractions
     Operation of computer and other office machines and tools used in performing essential functions
